Spread your emails out: Why you (almost) always want this

We have launched a new feature in Reloadify, which is spread email sending. We often hear from our customers that they want to send emails faster and faster. But, what if we tell you that there is another way? Faster is not always better. We are happy to explain to you what distributed sending of your newsletter is and exactly what the benefits are.

 

What is spreading your newsletter delivery?

Spreading out your newsletter sending is, as the name implies, spreading out your newsletter sending over a period of time. What we do then is have your e-mail arrive in batches to your target audience. Think of it as a train going several times an hour. Imagine you've scheduled your newsletter at 11:00 a.m.. And you've set your newsletter to be spread out over 2 hours. The first train with your emails will then start running at 11:00. Your second train of e-mails might start running at 11:10, the third train at 11:20 and so on. Small batches of emails (trains) are sent over the IP address (train track) you are sending on each time.

Why do you want a newsletter sending to be spread out?

It goes fairly against your nature not to send out your newsletter directly, but rather to send it out on a distributed basis. Yet it's a smart choice to do so.

There are several advantages to distributing your newsletter:

  • Your traffic on your website is spread out, which your server likes. The chance of your website going down because of too much traffic is very small. Especially during the holiday months this is handy.Your email traffic on your IP address is spread out, which keeps you from being
  • marked as spam. This in turn ensures that you have a positive shipping reputation.
  • Is there an error in your newsletter? Cancel your newsletter. Chances are that some of your customers have not yet received it.
  • You can spare your company's customer service if you get a lot of questions about the newsletter.
  • The receiving server will not be overloaded with your e-mail messages all at once.

How do you set up distributed sending in Reloadify?

Distributed sending in Reloadify is easy to set in the second step, in the settings of your newsletter. You have several sending options here, namely:

  • Send immediately
  • Send on a specific day + time
  • Schedule for delivery

Want to send your newsletter immediately? You can! Keep in mind that we will make sure your newsletter is sent as soon as possible.

Tip: Would you like to send your newsletter at exactly that time? Plan your newsletter at least 15 minutes in advance.

Do you send your newsletter immediately, but want to spread your traffic on your website? Then it's useful to set the delivery schedule. In this, you have the choice of sending the mailing within 1, 2, 4, or 8 hours. Try out what works best for you and your customers. In this example, I want the newsletter to be sent immediately, with a 4-hour spread. This then looks like this:

Send on a scheduled date

Are you already scheduling your newsletters in advance? Awesome! That's something we always encourage for the most optimal sending. In this case, instead of choosing the 'send immediately' option, choose 'send to'. In the example, we'll assume that we want to send the newsletter at 11 a.m. on Friday, Sept. 30, with a 2-hour spread. This will look like this:

In this way, your newsletter will go out to your first batch of customers at exactly 11:00 am. The last newsletter will go out to your customers around 1:00 pm.

Frequently asked questions

Q: How long does it take before my email is sent?

A: An email is basically sent immediately after you click send. We can deliver a maximum number of messages per minute to different mail servers. If we send more, they may block your messages. Do you want to send all your newsletters at once at the same time? Then go for the 'send to' option and schedule your newsletter at least fifteen minutes before sending with the time frame 'as fast as possible. Fifteen minutes before the newsletter is sent, we get to work preparing the emails for sending so they actually reach your subscribers at that time.

Q: I modified and rescheduled an already scheduled email. Will the new version of the email be sent now?

A: Yes!

Q: Can I still cancel a mailing if it is already being sent?

A: Yes, this could be done by clicking the 'cancel' button. Keep in mind that some of your customers will have already received an email, which we will not be able to retrieve. Sent is sent.
